Create a task template

Task templates are reusable sets of tasks you can insert into any file to avoid building task lists from scratch. This article covers how to create, edit, define to-do lists, link tasks, and delete templates in the Administration section.

Access task templates

  1. Log in to Estateably.

  2. Click the gear icon in the top-right corner to open the Administration section.

  3. Click Task Templates in the left-side menu.

Create a new template

  1. Click Create New. The Creating a New Template screen appears.

  2. Enter a Template Name.

  3. Select a File Type.

  4. Enter the required details for at least one task: Task Title and Phase.

  5. Click Add Task to this template to add more tasks.

  6. Optionally, click View Details on each task to define a to-do list or link the task to another task.

  7. Click Publish template at the top right to save the template.

Edit a template

  1. On the Task Templates page, click the ellipsis (…) icon to the right of the template you want to edit.

  2. Modify any template fields: Template Name, File Type, and Team.

  3. Modify task details as needed: Task Title, Phase, and Description. Click View Details to update the to-do list or task links.

  4. Click + Add Task to this template in the bottom right to add more tasks.

  5. To delete a task, click the trash icon on the task, or open View Details and click Delete Task.

  6. Click Save.

Define a to-do list for a task

  1. Open a template and click View Details on the relevant task.

  2. Type the description of the to-do item as you want it to appear.

  3. Click + Add To-do to add another item. Repeat as needed.

  4. Click Remove to delete a to-do item.

  5. Click Update to save the to-do items.

  6. Click the icon in the top right of the task drawer to close it and return to the template.

  7. Click Save to update the template.

Link a task to another task to set due dates automatically

  1. Open a template and click View Details on the relevant task.

  2. Scroll to the Linked Tasks section.

  3. Select whether to link to a task from the file-level default task list or from the current template.

  4. Open the Select Task dropdown and select the task you want to link to.

  5. Set the due date rule: select Due Date or Completion Date, then enter the number of days in the After field.

  6. Click Update.

Delete a template

  1. Go to Administration › Task Templates.

  2. Click the trash icon under the Actions column for the template you want to delete.

  3. Confirm the deletion by clicking Delete.

Conclusion

Task templates are great ways to create a set of tasks that might be used in many instances. Templates allow you to insert these tasks each time they apply instead of manually creating them one by one.
