Creating a task template

Introduction

A task template consists of a list of related tasks that may apply depending on the specific details of each case (e.g. certain asset type or perhaps a minor beneficiary). These task templates are not part of the default task list when creating a new file. Users can insert these reusable templates into their files as required to easily customize the file's task list based on the details of the case.

Getting Started

To get started, once you are logged into Estateably, click on the gear icon in the top-right corner of the page to access the Administration section. If you have been granted the Management-level permissions to view, add and/or edit task templates, then you can click Task Templates in the left side menu to access/create your organization’s task templates.

Creating a Task Template

a) From the Task Templates page, when you click Create New, the Creating a New Template screen will appear. Fill in the required template fields:

· Template Name

· File Type

b) Define the required details for at least 1 task:

· Task Title

· Phase

c) Click Add Task to this template to add multiple tasks.

d) Optionally, click View Details  for each included task to define a To-do List and/or to link the task to another task.

e) Click Publish template at top right of page to save the template so it can be added into any files as required.

Editing a Task Template

a) From the Task Templates page, click , to the right of whichever template you want to view/edit.

b) When the system displays the template and its details, you can modify any of the template fields: Template Name, File Type and Team.

c) You can modify the details of any included task: Task Title, Phase and Description. Click View Details to define or modify the task’s To-do List or to link the task to another task (so the system can automatically calculate the task’s Due Date).

d)You can add additional tasks to the template by clicking + Add Task to this template in the bottom right corner. Complete the required fields.

e) You can click the icon on any task to delete the task from the template; you can also click View Details and then click the Delete Task button to delete the selected task from the template.

f) Click Save to save all your changes.

Defining the To-Do-List

a) Within in a template, after clicking View details, for a specific task, you can define a To-do List.

b) Type the description of the To-do item as you wish it to appear for the task in any future files.

c) Click + Add To-do to add another item. You can repeat steps b and c as many times as required.

d) Click Remove to remove a to-do item from the list.

e) Click Update button to save the to-do items.

f) Click -> in top right corner of the task drawer to close the task’s details drawer and return to the Edit Template page.

g) Click Save to update the template.

Linking a Template Task to Another Task (to Automatically Set Due Dates)

a) Within in a template, after clicking View details, for a specific task, you can configure a link between the current task and another task.

b) Scroll down to Linked Tasks section. To define the primary task for the current task, first indicate where you want to select the task from:

· The file-level default task list (associated to the file type the current template applies to), Or,

· The current template in-context

c) Click the dropdown arrow on the Select Task field to select the name of the task you want to link to.

d) Define the Due Date rule by first selecting either Due Date or Completion Date depending on which value will determine when the current (linked) task will be due. In the After field, specify the number of days after the primary task’s due date or completion date, the current task in context will be due.

e) click the Update button

Deleting a Task Template

a) If you no longer wish to maintain or use a particular task template, delete the template (and all of its included tasks). In the Administration section, select Task Templates from the left side menu to access the Templates for this Organization page.

b) Under the Actions column on the right side of the page, click the icon for the template you wish to delete from your organization’s list of available templates.

c) The system will prompt you with a message to confirm you want to delete the Template. Click Delete to permanently delete the template. Click Cancel If you decide not to delete the template then.
