Set up and use the calendar integration

Sync Estateably tasks that have a due date to your Google Calendar or Microsoft Outlook calendar or to-do list. This article covers enabling the integration as an admin, authenticating as a team member, and syncing, managing, and removing tasks.

Enable the integration (organization administrators)

  1. Log in to Estateably.

  2. Go to Tools › Integrations.

  3. Click Enable Integrations.

  4. Select your calendar provider — Microsoft Outlook or Gmail — and click it.

  5. Follow the prompts to finish activating the integration.

Note for Outlook users

Connecting Outlook requires a one-time IT admin approval in your organization's Azure settings. Your IT admin must enable access before you connect in Estateably. After IT approves the request, close the Microsoft screen, return to Estateably, and connect again — your Outlook account connects successfully.

Share these resources with your IT admin if needed:

Authenticate as a team member

  1. Go to Tools › Integrations › Marketplace.

  2. Click the three-dot menu (…) next to the calendar provider you want to connect.

  3. Click Create user configuration.

  4. Select Sign in with Google or Connect for Outlook, then follow the prompts.

  5. After authentication, click Finish and return to the files where you want to sync tasks.

Sync a single task to your calendar

  1. Go to the Tasks section of a file.

  2. Confirm the task has an assigned user and a due date.

  3. Click View Details or the arrow icon next to the task.

  4. Click Sync to Calendar next to the Due Date field. If you have both Gmail and Outlook authenticated, select which provider to sync to.

  5. Click Sync. A confirmation message appears at the bottom of the page.

  6. Open your calendar to confirm the task was added as an all-day event. The event includes the task name, description (with status, phase, and a link back to the Estateably case), and the due date.

Outlook users: the task is added as a to-do item, not a calendar event. Synced tasks show a Remove from Calendar option in View Details, indicating the task is already synced.

You can mark the task as Completed in your calendar, and the status updates in Estateably within up to 15 minutes.

Remove a task from your calendar

  1. Open View Details for the synced task.

  2. Click Remove from Calendar.

  3. Confirm the removal. The task is removed from your calendar.

Sync multiple tasks to your calendar

  1. In the Tasks section, select the tasks you want to sync.

  2. Assign a user and set a due date, then click Save in the bottom menu and confirm.

  3. Click Sync to Calendar at the bottom of the page.

  4. Follow the same flow as syncing a single task.

Remove multiple tasks from your calendar

  1. Select the synced tasks you want to remove.

  2. Click Remove from Calendar at the bottom of the page.

  3. Confirm the removal.
