User and Team Management FAQs

Below are answers to common questions about managing users, roles, teams, and permissions in Estateably.

Who can manage users in Estateably?

User management actions such as inviting users, editing profiles, or deactivating users are typically available to users with administrative roles, such as:

  • Organization Admin

  • Team Director

  • Team Manager

Access to these features may vary depending on the permissions assigned to your role.


How do I invite a new user to my organization?

To invite a user:

  1. Click the Settings (gear) icon in the top-right corner.

  2. Navigate to Members and Teams.

  3. Click Invite Member.

  4. Enter the user’s:

    • Full name

    • Email address

    • Team (if applicable)

    • User role

  5. Click Invite.

The invited user will receive an email invitation to join your Estateably account.


What happens after I send a user invitation?

Once the invitation is sent:

  • The user will receive an email invitation within a few minutes.

  • Invitations remain active for 7 days.

  • If the invitation expires, it can be resent from the Invitations Pending tab.


Why can’t I invite a new user?

If you cannot invite users, it may be because your role does not include the necessary permissions.

In this case, you may need to:

  • Contact your organization administrator, or

  • Ask a colleague with administrative permissions to send the invitation.


How do I edit a user’s information?

To edit a user:

  1. Click the Settings (gear) icon.

  2. Navigate to Members and Teams.

  3. Select the user from the Members list.

  4. Click Edit.

From here you can update information such as:

  • First and last name

  • Phone number

  • Title

  • User role

Click Save once your updates are complete.


How do I deactivate a user?

To deactivate a user:

  1. Open Members and Teams from the Settings menu.

  2. Select the user from the Members list.

  3. Click Deactivate.

The user will no longer be able to log in to Estateably.


Can I permanently delete a user?

Yes. A user must first be deactivated before they can be deleted.

Once deactivated:

  1. Return to the user’s profile.

  2. Select Delete.

This will remove the user completely from the account.


What are user roles in Estateably?

User roles determine what actions a user can perform within the platform.

Common roles include:

  • Organization Admin

  • Team Director

  • Team Manager

  • Team Member

Each role has its own set of permissions.


Can I change a user’s role?

Yes.

To change a user’s role:

  1. Open Members and Teams from the Settings menu.

  2. Select the user from the list.

  3. Click Edit.

  4. Choose a new role from the User Role dropdown.

  5. Click Save.


Can I customize permissions for roles?

Yes.

Administrators can manage permissions through Roles and Permissions settings.

To adjust permissions:

  1. Open Settings.

  2. Select Roles and Permissions.

  3. Choose the role you want to edit.

  4. Enable or disable specific permissions under:

    • Management

    • Files

Changes will apply to all users assigned to that role.


What are teams in Estateably?

Teams allow organizations to group users by location, department, or jurisdiction.

Teams help firms organize users and files more effectively, especially when working across multiple offices.


How do I create a team?

To create a team:

  1. Open Settings.

  2. Navigate to Members and Teams.

  3. Select the Teams tab.

  4. Click Create Team.

  5. Enter:

    • Team name

    • Address

    • Team director

    • Team manager

    • Team members

  6. Click Create.

The team will then appear in your team list.


Can users belong to multiple teams?

Yes, depending on your organization’s setup, users may be assigned to teams to help organize access and collaboration.


How are teams used within the platform?

Teams can be used to:

  • Organize users by office or department

  • Control access to templates or workflows

  • Help manage case assignments and collaboration


Who can create task templates?

Users with the Task Templates management permission can create and manage task templates.

By default, this permission is included for:

  • Organization Admin

  • Team Director

  • Team Manager

However, permissions can be adjusted depending on the organization’s role configuration.


Can task templates be used across different file types?

No.

Each task template is limited to one file type, such as:

  • Estates

  • Trusts

  • POAs

This is because each file type may have different workflow phases.


Can multiple teams use the same task template?

Yes.

A task template can be shared across multiple teams if the template is configured to include those teams.


Can I use the same task template multiple times in a file?

Yes.

A task template can be inserted into a file multiple times if needed.


What happens if a task template is deleted?

If a task template is deleted from the administration settings:

  • It cannot be added to new files.

  • Existing files that already used the template will not be affected.


Can I connect my email account to Estateably?

Yes.

Users can connect their Gmail or Outlook account to send emails directly through the platform.

Each user must authenticate their own email account after the integration is enabled by the organization administrator.


What happens if I disconnect my email account?

If your email account is disconnected:

  • You will no longer be able to send emails through Estateably.

  • Previously logged emails will remain visible in the platform.


Where can I view invoices for my organization?

Organization administrators can view invoices by:

  1. Clicking the Settings (gear) icon.

  2. Selecting Billing Management.

  3. Navigating to Payment History.

From there, you can view and open past invoices.
