Below are answers to common questions about managing and tracking tasks in Estateably.

What is the Tasks feature used for in Estateably?

The Tasks feature helps users manage the steps required to administer an estate, trust, or other file within the platform.

Tasks help track progress, assign responsibilities, and ensure important steps are completed throughout the administration process.


Where can I view tasks in Estateably?

Tasks can be viewed in two places:

Within a file

  • Open the file

  • Select Tasks from the left-hand menu

Across all files

  • Select Tools in the top navigation

  • Choose Tasks

This opens the Tasks Dashboard, which displays tasks across all files you have access to.


What is the Tasks Dashboard?

The Tasks Dashboard allows you to view and manage tasks from multiple files in one place.

This view is helpful for:

  • Monitoring deadlines across files

  • Reviewing upcoming tasks

  • Identifying overdue tasks

  • Managing workloads across your team

Many users review the dashboard daily or weekly to ensure tasks stay on track.


Can I filter tasks in the Tasks Dashboard?

Yes.

You can apply filters to narrow down the task list and focus on specific tasks.

Filters may include criteria such as:

  • Assignee

  • Due date

  • Task status

  • File

  • Timeline

After selecting your filters, click Search Tasks to update the results


Can I export tasks from the Tasks Dashboard?

Yes.

Tasks can be exported for review or reporting.

To export tasks:

  1. Open the Tasks Dashboard.

  2. Apply filters if needed.

  3. Select Search Tasks.

  4. Click Export.

  5. Choose whether to export all results or selected tasks.

Once the export is ready:

  • You will receive an email notification with a download link.

  • A notification will appear in the notification bell.

  • The file will be provided in .xlsx format.


What task statuses are available?

Tasks can be assigned different statuses to reflect their progress.

Available task statuses include:

  • Incomplete

  • In Progress

  • Complete

  • Not Applicable

Updating the task status helps track progress within a file.


What happens when I set a due date for a task?

Setting a due date creates a deadline for the task.

When a due date is set:

  • The task will display a deadline tag

  • The assigned user will receive reminder notifications

  • The deadline will appear in the Overview section of the file

Reminder timing depends on the user's notification settings.


What happens if a task has a due date but no assignee?

If a task has a due date but no assigned user, the case file owner will receive reminder notifications before the deadline.


How do I assign a task to someone?

To assign a task:

  1. Locate the task in the task list.

  2. Click the Assignee field or Assign to link.

  3. Select the appropriate user.

The assigned user will then be responsible for completing the task.


How do I change a task’s due date?

To change a due date:

  1. Locate the task in the list.

  2. Click the current deadline or Set Due Date.

  3. Select the new date.

The updated deadline will appear on the task.


How do I view the details of a task?

To view task details:

  1. Locate the task in the task list.

  2. Select View Details.

This opens the task drawer on the right-hand side of the screen.


What information can I see in the task details panel?

Within View Details, you can access several sections:

Description
Some tasks include descriptions that provide additional context or instructions.

To-Do List
You can create subtasks that can be checked off during the process.

Notes
Add comments, attach files, and tag team members using @.

History
View a record of status updates and changes made to the task.


How are tasks organized in Estateably?

Tasks are automatically grouped into phases.

Phases represent different stages of the administration process and help organize the workflow.

When opening the Tasks section, phases containing in-progress tasks will automatically expand.

You can expand or collapse phases by clicking the phase name.


Can deadlines or assignments be changed later?

Yes.

Both task assignments and deadlines can be updated or removed at any time, provided the user has permission to manage tasks within the file.


Why should I regularly review the Tasks Dashboard?

Reviewing the Tasks Dashboard regularly helps ensure:

  • Deadlines are not missed

  • Overdue tasks are identified quickly

  • Workloads across files are manageable

  • Tasks across the organization remain organized
