What is Estateably?

Estateably is an estate and trust administration platform designed to help professionals manage estate and trust files efficiently. The platform supports file management, fiduciary accounting, task management, document generation, and distribution tracking.


What types of files can be managed in Estateably?

Estateably supports Estates, Trusts, and Powers of Attorney (POAs — Canada only). Each file type includes tools designed for its specific administration and accounting requirements.


How do I create a new estate file?

  1. Log in to Estateably.

  2. From the Dashboard, select Add New Estate.

  3. Follow the guided setup, entering the deceased's information and file details.

  4. Confirm the information to create the file.

The file appears on your dashboard once created.


How do I open an existing file?

  1. Log in to Estateably.

  2. Go to your Dashboard.

  3. Locate the file you want to access.

  4. Click anywhere on the file row.

The file opens in the Overview section.


How are tasks managed in Estateably?

Estateably includes a built-in task management system that guides users through estate and trust administration. Tasks may be generated based on the file type, the checklist selected, or information entered into the file. Mark tasks as complete and track them within the file or through the Tasks dashboard.


How do I add beneficiaries or contacts to a file?

Contacts such as beneficiaries, executors, or trustees must be added before they can be used in distributions or reports.

  1. Open the file.

  2. Go to Contacts.

  3. Click Add New.

  4. Enter the contact details and click Save.


How are distributions recorded?

Distributions are recorded in the Distributions section of a file. You can record cash distributions and asset or item distributions. These entries track when funds or assets are distributed to beneficiaries and can be included in reports.


What is fiduciary accounting in Estateably?

Estateably includes built-in fiduciary accounting tools for managing financial records within estate or trust files. Users can add assets, record liabilities, enter transactions, transfer funds between accounts, generate accounting reports, and import bank statements.


Can I generate reports from my files?

Yes. Estateably supports a variety of reports depending on file type and jurisdiction, including distribution reports, accounting reports, and fiduciary summaries. Reports are generated through the Reports section within the file.


Can I manage users and teams within my account?

Yes. Administrators can invite new members, assign roles and permissions, create teams or office groups, and manage user access to files — all through the Settings menu.


Can I control file permissions for my team?

Yes. Roles and permissions allow administrators to control access to files, management settings, accounting features, and task functions. Configure these under Settings › Roles and Permissions.


How do I manage my profile and notification preferences?

  1. Click your initials in the top-right corner.

  2. Select View Profile.

From there, update personal information, password and security settings, notification preferences, and email configuration.


How do notifications work in Estateably?

Estateably notifies users of file assignments, task updates, notes or mentions, and system updates such as imports or exports. Notifications can be configured to appear in-app, by email, or both.


Can I change default settings for files?

Yes. Settings such as compensation structures and permissions can be configured as account-level defaults, and many can still be adjusted on a per-file basis.
