What is Global Task Management in Estateably?

Global Task Management allows users to view and manage tasks across multiple files in one place using the Tasks Dashboard.

This feature helps users monitor deadlines, track progress, and manage workloads without needing to open each file individually.


Where can I access the Tasks Dashboard?

To access the Tasks Dashboard:

  1. Select Tools in the top navigation bar.

  2. Click Tasks.

This will open the Tasks Dashboard, where you can view tasks from all files you have access to.


What can I do from the Tasks Dashboard?

From the Tasks Dashboard, you can:

  • View tasks across multiple files

  • Identify overdue or upcoming deadlines

  • Filter tasks by specific criteria

  • Review workloads across users

  • Export task lists for reporting

  • Manage tasks more efficiently across files

Many users review the dashboard daily or weekly to stay organized.


How can I filter tasks across files?

The Tasks Dashboard includes filters that allow you to narrow down results.

You can filter tasks by options such as:

  • Assigned user

  • Due date

  • Task status

  • File

  • Timeline

After applying filters, select Search Tasks to update the results.

Filters help you focus on specific tasks that require attention.


Can I export tasks across all files?

Yes.

You can export tasks from the Tasks Dashboard for review or reporting.

To export tasks:

  1. Open the Tasks Dashboard.

  2. Apply filters if needed.

  3. Click Search Tasks.

  4. Select Export.

  5. Choose whether to export all results or selected tasks.

Once the export is ready:

  • You will receive an email notification with a download link

  • A notification will appear in the notification bell in Estateably

  • The file will be available in .xlsx format

This allows you to review tasks in a spreadsheet or share task data externally.


Why would I export tasks?

How can I view details for a task from the dashboard?

To view task details:

  1. Locate the task in the task list.

  2. Select View Details.

This will open the task drawer on the right-hand side of the screen, where you can review the task’s information.


What information can I see in the task details panel?

Within View Details, you can review and manage:

  • Task description

  • Task status

  • Due date

  • Assignee

  • To-do list (subtasks)

  • Notes and attachments

  • Task history

This panel allows you to manage tasks without leaving the dashboard.


Can I update task status from the dashboard?

Yes.

Users with the appropriate permissions can update the task status directly from the dashboard or from the task details panel.

Task statuses include:

  • Incomplete

  • In Progress

  • Complete

  • Not Applicable


Can I change the assignee or due date from the dashboard?

Yes.

You can update these fields directly from the task list or from the View Details panel.

To update from the list:

  • Click the Assignee field to assign the task to a different user

  • Click the Due Date field to set or update a deadline

Changes will be saved immediately.


What happens when a task has a due date?

When a task has a due date:

  • A deadline indicator appears on the task

  • Reminder notifications may be sent based on the user’s notification settings

  • The task can be tracked more easily across the dashboard

If a task has a deadline but no assignee, the case file owner will receive reminder notifications.
